Dokan Vendor Shipping: Per-Vendor Rates, Zones and Common Problems

Shipping causes a steady stream of support tickets on Dokan marketplaces. Here is how vendor shipping works, how to set up zones and per-vendor rates, who should keep the fee, and how to fix problems like "no shipping options" and customers paying shipping twice.

A customer in Germany reaches checkout and sees "no shipping options". Another customer buys from three vendors and asks why they were charged shipping three times. A vendor messages you because they can't find where to enter their rates.

Shipping causes a steady stream of support tickets on Dokan marketplaces, and most of them come from the same few setup mistakes.

This post explains how vendor shipping works in Dokan, how to set it up, how to choose the right rate type, and how to fix the problems I see most often.

How Dokan Vendor Shipping Works

In a normal WooCommerce store, one business ships everything from one place. In a marketplace, every vendor has their own location, costs and delivery options.

Dokan Pro handles this with a split of responsibility:

  • The admin creates the zones. A zone is the group of countries, states or postcodes you sell to.
  • The admin adds the Vendor Shipping method to each zone. This is what opens the zone to vendors.
  • Each vendor adds their own methods and rates inside those zones.

The part that surprises most people happens in the cart. Dokan splits the cart into a separate shipping package for each vendor. If a customer buys from three vendors, checkout shows three shipping choices, and each vendor's rate is calculated separately.

That is correct behavior, because three vendors usually means three parcels. It just needs to be explained to customers.

Step 1: Set Up the Zones as Admin

Go to WooCommerce, Settings, Shipping, Shipping Zones and click Add Shipping Zone.

  1. Give the zone a clear name, such as "United Kingdom" or "Europe".
  2. Add the regions it covers. You can also limit it by postcode.
  3. Under shipping methods, add Vendor Shipping.
  4. Save the zone.

The third step is the one people miss. Without Vendor Shipping on the zone, vendors can't see or configure it from their dashboard.

Two things to know before you add more methods or change zones later:

  • Other methods you add to the zone are visible to customers. Vendors won't see them in their dashboard, but customers in that zone can still see them at checkout. A leftover Flat Rate method can appear next to the vendor's rates.
  • Deleting a zone also deletes the vendor shipping data in it. Every vendor who set up rates in that zone would have to enter them again. Change a zone rather than deleting it whenever you can.

Step 2: Let Vendors Add Their Rates

Vendors go to Vendor Dashboard, Settings, Shipping, click Edit on a zone, then click Add Shipping Method. They can only choose from the methods you have made available.

Vendors can also limit a zone to certain locations or postcodes. A vendor who only delivers to one city doesn't have to accept orders from a whole country. This is useful, but it's also a common cause of "no shipping options" later on.

The same screen has the vendor's shipping policy and processing time. Ask vendors to fill these in, because customers read them before they contact you.

Which Rate Type Should a Vendor Use?

MethodHow it chargesBest for
Flat RateA fixed cost for the vendor's packageVendors with similar sized products
Free ShippingNo charge, with an optional minimum order amountVendors who want to encourage bigger orders
Local PickupThe customer collects, with an optional feeVendors with a shop or a local customer base
Table RateRules based on weight, price, item count or shipping classVendors with a mix of light and heavy products
Distance RateRules based on the distance or travel time to the customerLocal delivery, such as food or furniture

Table Rate and Distance Rate are Dokan Pro modules, so check that your plan includes them. Enable Table Rate under Dokan, Modules, then add the vendor version of the method to the zone.

My advice is to start simple. Most vendors can begin with Flat Rate and Free Shipping, and only move to Table Rate once they have a real reason. A complicated rule set that nobody understands creates more tickets than it saves.

Decide Who Keeps the Shipping Money

Before the first order, decide who actually receives the shipping fee. The setting is at Dokan, Settings, Selling Options, under Fee Recipients. Shipping Fee can go to the Vendor or the Admin.

If vendors post their own parcels, the fee should normally go to the vendor. If the marketplace arranges and pays for delivery, it should normally go to the admin. Getting this wrong means someone is quietly losing money on every order.

Tax on shipping is a separate setting, so check that as well. I cover how this affects vendor balances in my guide to Dokan commission and vendor payouts.

Common Problem 1: "No Shipping Options" at Checkout

This is the most common shipping ticket. Work through these checks in order:

  1. Does a zone match the customer's address? If the address isn't covered by any zone you've made, there's nothing to show.
  2. Does that zone have Vendor Shipping on it?
  3. Has this vendor added and enabled a method in that zone? One vendor who skipped setup can block a cart that includes their product.
  4. Has the vendor limited the zone to locations or postcodes that exclude this customer?
  5. Is it a Table Rate rule? An order outside every rule, such as one above the maximum weight, can end up with no rate.
  6. Is it Distance Rate? It needs a Google Maps API key in the Dokan settings, or vendors can't use it.

Common Problem 2: Vendors Can't See a Zone

This almost always means Vendor Shipping was never added to that zone. Add it, and the zone appears in the vendor's dashboard.

If the zone is there but a method is missing from the vendor's drop-down, the admin hasn't made that method available yet.

Common Problem 3: Customers Complain About Paying Shipping Twice

Usually this isn't a bug. They bought from two vendors, so they're paying for two parcels. The fix is communication:

  • Show the vendor's name beside each shipping choice in the cart.
  • Add one plain line to your cart page or FAQ explaining that each seller ships separately.
  • Encourage vendors to offer free shipping above a minimum, which softens the cost on larger orders.

Common Problem 4: The Free Shipping Minimum Doesn't Work

A vendor's Free Shipping minimum is checked against that vendor's own package, not the whole cart. A customer with $100 in the cart, split across two vendors at $50 each, won't reach a $75 minimum with either one.

Be careful with a marketplace-wide banner that says "free shipping over $75". Unless you have built that rule, it promises something the checkout won't do.

Common Problem 5: The Wrong Rate Shows Up

WooCommerce uses the first zone that matches, working from the top of the list down. If "Europe" sits above "Germany", German customers get the Europe rates. Keep specific zones above broad ones.

Also look for these two:

  • Leftover admin methods on the zone showing beside the vendor's rates.
  • Old and new systems mixed together. Dokan's older Dokan Shipping method can stay enabled alongside zone based shipping. Pick one system so that vendors aren't entering rates in the wrong place.

WooCommerce also caches shipping rates, so a change may not appear in a cart you already have open. Test in a private window with a new cart, or turn on the WooCommerce shipping debug mode while testing. Remember to turn it off afterwards.

Test These Orders Before You Launch

Make two test vendors with different rates, then place these orders:

Test orderWhat should happen
One product from one vendorOne shipping choice, at that vendor's rate
Products from two vendorsTwo shipping choices, each at the right vendor's rate
An address outside every zoneA clear message, not a broken checkout
Just under and just over a free shipping minimumFree shipping appears only above the minimum
A vendor who hasn't set up shippingYou know what the customer sees, and you've decided if that's acceptable
A completed orderThe shipping fee lands in the right balance

Add these to your wider Dokan launch checklist. Finding a shipping problem now takes minutes, while finding it after launch costs you real orders.

Final Thoughts

Dokan shipping isn't complicated once the responsibilities are clear. The admin owns the zones and decides who keeps the fee. Vendors own their methods and rates. Customers pay per vendor, so tell them that up front.

Get those decisions right before launch, write short setup instructions for your vendors, and most of the tickets never arrive.

If your marketplace needs shipping rules that the built in options don't cover, or checkout is already showing the wrong rates, that's the kind of work I do. Take a look at my services or send me the details through the contact form below.
